Cases that need scheduling
It's easy for a case to quietly go too long without a visit. FCR watches for that and surfaces it on your Schedule page, so you can act before it becomes a problem.
What it flags
FCR lists your active cases that have no scheduled session in the next 21 days — the ones at risk of a coverage gap. Each one comes with a + Schedule button so you can book a visit right there.
The list is ordered by urgency, and each case is color-coded:
- Red — 21+ days since the last session, or no session ever.
- Amber — about two weeks out.
- Gold — getting close, but less urgent.
The longer a case has gone without coverage, the higher it sits and the more urgent its color.
A Family Preservation case that hasn't had its first contact logged gets a prominent "First contact overdue" flag — first contact is time-sensitive, so it's called out regardless of anything else.
If a case is also nearing or past its authorization end date, its expiring or expired badge shows right on the row — see The case lifecycle. That's your cue to follow up on a re-authorization as well as a visit.
Whose cases you see
The list mirrors your calendar scope:
- Staff members see their own cases.
- Supervisors and practice managers can see their team's or the agency's, with the assigned staff member's name shown on each row.
Where it appears depends on your role — staff members get a compact version alongside their schedule; supervisors and practice managers see a fuller list. Either way, the list hides itself when there are no gaps, so seeing nothing is good news.
Frequently asked questions
A case I expected isn't on the list. The list only shows active cases with no session in the next 21 days. If a case already has an upcoming session — or isn't active — it won't appear.
The whole card is gone. That means none of your cases currently have a coverage gap. The card only shows up when there's something to act on.
What counts as "covered"? A case drops off the list once it has a scheduled session coming up. Book one with the + Schedule button on the row — see Your calendar & scheduling sessions.
