Finding a family, case, or staff member
There's a search bar at the top of every page. Start typing (two characters is enough) and FCR looks across families, referrals, and staff at the same time, showing the closest matches in each group with a View all link when there are more.
What you can search by
Families
- the family / household name
- the DCS case number
- the name of anyone in the household
- a phone number — type it however you like (
3175551234,317-555-1234,(317) 555-1234); FCR compares the digits
Referrals
- the DCS referral ID
- the family name
- the service (HBC, FP, SPTT, and so on)
- the RF number on a billable component
Staff
- first name, last name, or both
- email address
Searching by the client's name
You don't have to remember the household name. Type the name of the person receiving the service and FCR finds every family and referral they're on.
This works the way names actually get written down:
- Any order —
Jane RiveraandRivera Janeboth work. - The comma form —
Rivera, Janeworks too, because that's how names arrive on DCS paperwork. - Any part —
Jane,Riv, orRiveraall find her. - The name they go by — if a client's preferred name is recorded, searching that finds them, not just their legal name.
The same rules apply in the search bar, the Referrals list, and the Families list — a name that works in one works in all three.
Search never crosses agencies. And you only see the clients you're allowed to see: if a case isn't yours and you're not a supervisor or manager over it, it doesn't appear in your results.
Tips
- Two characters minimum. Shorter than that and FCR waits for more.
- Partial is fine. You rarely need the whole name or number.
- Not finding someone? Try a different piece — the DCS case number instead of the name, or the client's first name instead of the household name. If a case genuinely isn't yours, ask your supervisor to check the assignment.
Frequently asked questions
Can I search for a phone number? Yes, on families — formatting doesn't matter.
I know the client's first name but not the family name. Is that enough? Yes. Client names are matched by any part, in any order.
A colleague can find a case and I can't. Why? Search shows you what you have access to. They're probably assigned to it, or they're a supervisor or manager with wider visibility.
Does search look inside notes and documents? No — it searches families, referrals, and staff. Open the case to read its documentation.
